One Dashboard. Every Account. Zero Tab-Switching.
MyColdInbox connects all your Gmail, Outlook, and IMAP sending accounts and gives your team a single multi-account view across all of them. Every reply, every account, one dashboard — without switching between logins.
Built for outreach teams running 10, 20, 50, or more sending accounts who need one operational view over their entire inbox footprint rather than a browser full of tabs.

Managing replies across many accounts means living in browser tabs
Every sending account you add to your outreach operation adds one more tab to open, one more login to maintain, one more inbox to manually check. At two or three accounts, this is manageable — barely. At ten accounts, it is a genuine productivity problem. At twenty or thirty, it is operationally untenable. The teams that scale their inbox count most aggressively are the ones who feel this problem most acutely.
The hidden cost of tab-switching is not just the time each individual switch takes. It is the mental overhead of tracking what you have checked, what you have not, what state each inbox was in when you last looked at it, and what might have arrived since then. At scale, maintaining an accurate mental model of 20+ separate inboxes is cognitively exhausting — and the errors it produces have real business costs.
Tab-switching is a significant and growing productivity tax
The math on tab-switching adds up fast. Five minutes per inbox per check, ten inboxes checked twice a day, five days a week: 500 minutes — over eight hours — per week of pure account-switching overhead. That is time not spent responding to prospects, not spent managing the pipeline, not spent on anything productive. As inbox count grows, this tax grows proportionally.
No complete picture of total reply volume at any moment
When you check inboxes sequentially, one account at a time, you never have a complete picture at any given moment. By the time you finish checking account twenty, new replies may have arrived in accounts one through ten. Your view of your inbox footprint is always slightly outdated and always partial. For teams trying to ensure rapid follow-up on all incoming replies, this is a structural problem.
Shared inbox access requires credential sharing or complex delegation
When multiple team members need access to the same sending inboxes, the default options are all unsatisfactory: share login credentials (security risk, no accountability), set up delegated access in Google Workspace (time-consuming, requires admin access), or use email aliases (complex, limited). None of these approaches gives you team-based access management with proper visibility controls.
Connection health monitoring requires checking each account individually
When you have thirty sending accounts connected to various tools, knowing which ones are experiencing issues requires checking each one individually or waiting for error notifications that may come too late. An account whose connection has dropped is an account whose replies you are not seeing — and you may not know it for hours or days without a central connection health view.
MyColdInbox gives you one view across every account you run
The multi-account view in MyColdInbox is the operational dashboard for your entire outreach inbox footprint. Connect every Gmail account, every Outlook account, and every IMAP inbox your team uses for outbound — once. From that point, every reply from every account flows into a single unified view that your whole team can access simultaneously.
The left sidebar of your MyColdInbox workspace lists every connected inbox with its display name, connection status indicator, and unread reply count. The main pane shows the unified thread list — aggregated across all accounts, or filtered to any specific inbox with one click. No tab-switching. No manual per-account checking. One dashboard that covers everything.
For teams managing large inbox footprints — agencies with dozens of client inboxes, SDR operations with many rep accounts, lead gen businesses running high volume across many domains — the multi-account view is not a convenience feature. It is the foundational operational infrastructure that makes managing that scale feasible with a real team rather than an army.
Everything your outreach team needs — multi-account inbox view for outreach
01
Connect Gmail, Outlook, and IMAP accounts in one workspace
MyColdInbox supports connecting any combination of Gmail accounts (via Google OAuth), Microsoft Outlook accounts (via Microsoft OAuth), and IMAP inboxes (via server settings and app passwords). You can mix provider types freely — all in the same workspace appearing in the same unified view.
02
Unified thread list aggregates all accounts in one pane
The main pane shows a unified thread list that aggregates replies from every connected inbox simultaneously. New replies from any account appear in this list automatically, labeled with the inbox they came from. Your entire team sees the same unified list.
03
Per-inbox filter with one click from the sidebar
The left sidebar lists every connected inbox by display name. Clicking any inbox in the sidebar filters the main thread list to show only threads from that account. One click to focus on one client's inbox. One click back to the unified view to see everything again.
04
Connection status indicator per inbox
Every inbox in the MyColdInbox sidebar displays a connection status indicator — a colored dot showing whether the inbox is connected and syncing normally (green), experiencing an error (red), or inactive (grey). This connection health view means you know immediately if any of your accounts has a problem.
05
Unread reply count per inbox in the sidebar
The sidebar shows an unread reply count badge next to each connected inbox — the number of threads in that inbox that contain unread replies. At a glance, you can see which of your inboxes has received new activity and which is quiet.
06
No credential sharing — team access via workspace membership
The multi-account view is accessible to every team member in the workspace without sharing email account credentials. Workspace membership and inbox visibility settings determine what each team member can see. Adding a team member to the workspace gives them access to all shared inboxes immediately.
How multi-account view works in MyColdInbox
Setting up and using the multi-account view in MyColdInbox follows a straightforward pattern that scales from two accounts to two hundred.
Connect all your sending accounts
From the Connect Inbox page in MyColdInbox, connect each of your sending accounts — Gmail via the Google OAuth flow, Outlook via the Microsoft OAuth flow, or IMAP inboxes via server settings. Each connection takes two to three minutes. Connect as many accounts as your plan allows.
Each connected inbox appears in the left sidebar immediately after connection, with a green status indicator and a zero unread count. MyColdInbox begins importing recent thread history for each inbox in the background as soon as it is connected.
All accounts appear in the sidebar, all replies in the unified view
Once connected, every inbox is listed in the sidebar with its display name. The main thread list automatically shows replies from all connected accounts in the unified view. New replies appear as they arrive from any account — labeled with the inbox they came from.
You can rename connected inboxes from the inbox settings to use display names that make sense for your operation — client names for agency use, rep names for SDR teams, campaign names for lead gen operations.
Navigate between unified view and per-inbox view freely
Click any inbox in the sidebar to filter the main thread list to that account. Click All Inboxes at the top of the sidebar to return to the unified view. Navigate between views as needed — the transition is instant and the state of each view is preserved when you switch.
Keyboard shortcuts for navigating between inboxes are on the product roadmap for power users managing large inbox footprints. Check the Changelog for availability.
Monitor connection health and unread counts from the sidebar
The sidebar is your operational dashboard for inbox health. Green dots confirm all accounts are syncing. Red dots require attention. Unread count badges tell you where activity is happening. For teams managing large numbers of accounts, a morning scan of the sidebar tells you the state of the entire operation at a glance.
Inbox error states typically occur when an OAuth token expires or IMAP credentials change. The error indicator in the sidebar tells you which inbox needs reconnection before you miss more replies.
Who uses multi-account view and how
The multi-account view is the most foundational feature of MyColdInbox for teams managing large inbox footprints.
Manage dozens of client inboxes from one operational view
An agency managing campaigns for fifteen clients, each with three to five sending inboxes, is operating a footprint of 45 to 75 separate email accounts. With MyColdInbox, all 75 inboxes are connected to one workspace, visible in the sidebar with individual status indicators and unread counts, and aggregated in one unified thread list. The operational complexity drops from managing 75 separate things to managing one system with 75 components.
Give team leads visibility across all rep accounts
A ten-rep SDR team where each rep sends from two domains and two accounts per domain is running 40 sending accounts. The team lead needs visibility across all 40. With MyColdInbox, the team lead sees all 40 inboxes in the sidebar and the unified thread list aggregates replies from all of them. Filtering by a specific rep's inboxes takes one click.
Manage 50 outreach accounts without the overhead
Individual operators running outbound at scale — sometimes called growth operators or outreach consultants — often manage 20 to 50 outreach accounts across multiple clients or campaigns. The multi-account view gives them the operational leverage of seeing everything at once without the overhead of a full agency team.
Handle domain-diversified infrastructure at scale
Lead gen businesses running outbound across many domains for deliverability end up with inbox footprints in the range of 50 to 200 accounts. MyColdInbox's multi-account view is designed for exactly this scale: connect all the accounts, see all the replies in one place, manage the team from one workspace.
Multi-account view vs account-by-account inbox management
The difference in operational efficiency between a multi-account view and account-by-account inbox management grows proportionally with inbox count.
At five accounts, account-by-account management is inefficient but survivable. At twenty accounts, it is a serious operational problem. At fifty, it is a full-time job that still produces poor results. The multi-account view in MyColdInbox is not a marginal improvement over account-by-account management — at scale, it is the difference between a functional operation and a chaotic one.
