Setting up a MyColdInbox workspace for your team is a straightforward process. Most teams are fully operational within one working session.

Create your workspace and connect your inboxes

Sign up for MyColdInbox and create your workspace with a name and basic settings. Then connect your inboxes — Gmail via OAuth, Outlook via OAuth, or IMAP with your server settings. Set each inbox as shared or personal. MyColdInbox imports recent thread history for each connected inbox immediately.

Large teams with many inboxes can connect them in batches. There is no limit on the number of inboxes you can connect in a single session. Each connection is independent — a failed connection on one inbox does not affect others.

Invite your team members

Go to the Invite section in your workspace and enter your team members' email addresses. Each person receives an invitation link, creates their MyColdInbox account, and joins your workspace. They immediately see all shared inboxes in the unified view. Personal inboxes remain private.

Invitation emails can be resent if a team member has not accepted. Pending invitations are visible in the workspace settings so you always know who has and has not joined yet.

From this point, all incoming replies from all shared inboxes flow into the team's unified inbox view. Team members see the same data simultaneously.
